GSuite Integration: Advanced User Management

Google's GSuite User Management is a great way to integrate your existing lists of User accessibility settings with AskNicely.

Authorizing AskNicely <> GSuite Integration 

  1. If you have Admin rights to your AskNicely account, go to Settings > Users > GSuite, where you will see the GSuite configuration screen. Click Authorize G Suite.
  2. Ensure that your Google permissions are that of the person with admin access on your GSuite account. Authenticate your Google credentials.
    4. Click Allow.
  3. Click Allow to authorize the permissions of AskNicely's integration with GSuite.
  4. Once completed, you will be returned to the configuration screen.

Configuring GSuite 

Select either option:

  • Sync all users: Syncs all users on your GSuite account

  • Select specific groups: Your list of active Groups will appear with checkboxes to select which of those Groups to Sync with AskNicely. 

Note: Ensure the selected Groups do not have overlapping members. AskNicely cannot guarantee which Group a User will be associated if found in multiple groups. 

For either option, you will need to select a Default Role from the dropdown that lets you pick which User Role to assign to all Users when they are synced into AskNicely. You are able to edit individual access after the Users are first synced.

Once you’re done, click Save & Sync users at the bottom. You should see a green success banner.

Recommended Setting: Toggle the “Disable email login” on. This will require users to login via Google and not with their email/password

Checking Sync Status

  1. In the same configuration page, navigate to the Status tab, where you can see the status and details of the integration
  2. You can also go to your Users page and see that the users synced are labeled accordingly, including their GSuite group.

FAQs

Is syncing automatic?

Yes. Once GSuite integration has been setup, it will automatically resync every 6am and 6pm (your local timezone). Otherwise, you can hit the “Sync Now” button to manually sync any time.

Can I go over the user limit?

No. If you sync too many users (whether by Users or Group), the integration will refuse to sync any User. You will have to pick a smaller group to sync, or upgrade your plan.

I want to use regular email/password logins for synced users.

We strongly recommend that if integrating with GSuite, to only use the Google sign in button for synced Users. However, if you still wish to use regular email/password login, your synced users will have to use the “Forgot Password” so they can set up a unique AskNicely password.

Is anyone notified when we sync users?

Yes. Users who were added will be notified by email. Your admin will also receive an email if a sync fails.
