🎯 Introduction
AskNicely allows you to combine existing contact data information into a new custom data field.
For example, you may want to combine “Canada,” “United States,” and “Mexico” into a group called “North America.” Or, you could use Custom Groups to group your Customer Success Managers by the supervisor they report to.
In a nutshell, creating a custom group creates a new data point that will be added to any applicable contacts on your Contacts page and again on any future responses from that contact.
This article outlines how to create individual custom groups. If you have a lot of data, you can also create custom groups by CSV.
🔧 How Custom Groups Work
Custom Groups let you select data points to group together. You can use these to:

Sort data in Leaderboards

Filter reports and dashboards

Insert into custom fields
To create a new custom group:

Click the Cog Wheel to open your Settings.

Click Data Management.

Choose Custom Groups.
At the very top, you’ll see your Group Name (a). If you have multiple types of groups, their names will be listed horizontally. The group name becomes the label for the new custom data field.
Below that, you’ll find each Group (b), which is the label you want to use when filtering or analyzing your data. For example, this might be a region name like "North America" or a supervisor's name.
Clicking on a group will open the Edit Group (c) modal. You can:

Add or remove items using the input field

See which values are included in each group
Any time one of the data values in a group appears in a contact’s data, the group value will also be applied.
⚠️ Important: You cannot select data fields created through the Location Management app. This may result in an infinite loop or failed updates.
If you make any changes, make sure to click Save.
✅ Applying Custom Groups
Click Apply Changes to run your new group assignments across your contact database.
This process:

Reviews all existing contacts

Applies the new data point where appropriate

May take some time depending on your contact volume
📌 Example: If Jamie Lannister is listed as the Customer Success Manager, and you've grouped him under "Supervisor: Matthew Berninger," AskNicely will assign Matthew Berninger to the Supervisor field for those contacts.
You can verify these updates by reviewing the Contact profile once processing is complete.

Once created, your new custom data points can be used just like any other data field:
