This guide explains how User Teams are created in AskNicely, how users are automatically or manually assigned to teams, and how teams are used throughout the platform, including in leaderboards, shoutouts, Focus Areas, and Frontline dashboards.
What Do Teams Do?
Grouping users into Teams is essential for personalizing the experience and providing targeted insights. Here’s what Teams enable:
- Targeted Dashboards: Allows frontline managers to view their dashboards (including recommended focus areas and survey responses) explicitly filtered for their team.

Team-Specific Focus Areas: This is a key feature powered by Teams. Managers can see recommended focus areas based on their team's unique feedback and then set specific Focus Areas for them to work on.
- If no teams are set up, managers and head office can still set a global focus area.
- Engaging Features: Teams power other key functions on the frontline manager and staff dashboards, such as Recommended Shoutouts and Leaderboards.
Where Do Teams Come From?
The list of available Teams is generated directly from your Locations app.
- Each individual location you have configured in the system (each line item) is treated as a potential Team.
- To add, remove, or edit your list of available Teams, you must make those changes to your entries in the Locations app.
How Are Users Assigned to Teams?
Users can be assigned to teams in two ways:
1. Manual Assignment
While the system has an automated assignment process (see below), you can always override it or set a team manually. This is useful for new users or for correcting assignments.
You can do this in two ways:

On the User Page: Navigate to an individual's profile and find the user configuration settings to assign them to a team.
- Via CSV Upload: You can set or update team assignments for many users at once using the user CSV upload.
2. Auto Assignment (Backend Algorithm)
AskNicely auto-assigns users to teams based on user role filters and how those filters relate to the location field.
Auto-assignment logic (simplified):
Loop through each location individually.

For each user:
Check all filters applied to their role, in order.
If a filter matches the Location field (e.g., “District = South”), the user is automatically assigned to that matching team.

If no direct match is found:
We skip metric filters.
Then we check whether the first remaining filter and the location field are part of your Team Groups configuration.
If so, AskNicely checks the team hierarchy built from your contact data and assigns users accordingly.
📌 Note: Any team labeled with "(auto)" means it was automatically assigned using the logic above.
