Display your AskNicely Fields in HubSpot
HubSpot is one of our most flexible and easy to configure Integrations - by connecting your HubSpot account, you'll have the following options:
- Choose which of your Contact's properties are pulled through into the AskNicely record so that you can aggregate NPS scores and responses by the data points you choose.
- See AskNicely responses directly in HubSpot - these can appear on a contact's timeline as well as in their "Properties", giving you the ability to find and query both the history of a contact's responses and their most recent responses.
- Build complex queries for your AskNicely responses - you can find and filter contacts based on their feedback and create different HubSpot workflow actions based on score or comment.
To configure with AskNicely, you must have the following HubSpot features activated on your HubSpot account:
- A paid HubSpot Marketing Site
- Active Lists
Know Before You Go
Our HubSpot <> AskNicely integration works by pulling Contacts from your "Active Lists" in HubSpot. AskNicely will import the Contacts on a nightly basis for whichever Lists you select when configuring your account.
- When building your Active Lists in HubSpot, you have the ability to provide advanced criteria that determines exactly which contacts are pulled into AskNicely.
- We recommend excluding people you do not wish to survey when building your Active Lists.
- Example: If you have a "Do Not Contact" checkbox in HubSpot, make one of your Active List rules is something like "Do Not Contact = False."
- We recommend excluding people you do not wish to survey when building your Active Lists.
- If a contact no longer meets the criteria you have set for your chosen Active List and they "fall off" of the list, they will be deactivated in AskNicely and won't be eligible to receive automated surveys.
- If an Active List is deselected in the AskNicely Integration Page, Contacts already synced over will stay active unless manually made inactive.
PLEASE NOTE: For efficiency and performance, AskNicely can only display 2000 Active Lists for an account. If the Integration page is timing out, remove unused Lists and try again.
Once your contacts are in AskNicely, use our Send Scheduler feature and the Global Contact Rule at the bottom of your Send page to control when and how frequently your surveys will be sent.
Connecting HubSpot & AskNicely
- Click App Store > Integrate > Hubspot > Configure > Edit
- Click Connect to Hubspot to authorize the AskNicely app to connect to your HubSpot account
- A new window will open up in your Hubspot account
- Follow the remaining steps on screen
- Once you have logged into HubSpot, continue on to the next section of this help article
Selecting Active Lists of HubSpot Contacts
Once HubSpot & AskNicely are connected to each other, you will then be able to see the list of HubSpot Active Lists in AskNicely. (As described in the 1. Know Before You Go section above, you will want to have configured an Active List in HubSpot that captures the contacts you wish to survey.)
- Click the checkboxes next to the Active Lists to bring them into AskNicely.
- You can bring in as many lists as you want
- Any selected lists will then be imported and synced nightly.
- The name of your Active List will be imported into AskNicely as the "Segment." You can view this by going to the Contacts page and looking under the SEGMENT column.
- Once your Active List(s) have been synced into AskNicely, go to Surveys > Manage Templates page and set the "Trigger Field" to "Segment."
- If you only need one Survey Template (Recommended), you can then configure the "Default" Survey Template.
- If you need more than one Survey Template, use the "Add More Survey Templates" dropdown to create a Survey Template for each one of your Active Lists.
- Now, every Active List will have its own dedicated Survey Template.
- To validate that your Segments and Trigger field are set up correctly, go to the Contacts page - there, you should see that the "SEGMENT" column value matches the "SURVEY TEMPLATE" value for every Contact.
- If you need more than one Survey Template, use the "Add More Survey Templates" dropdown to create a Survey Template for each one of your Active Lists.
Selecting HubSpot Contact Properties
Every HubSpot fields that you import will create both a Leaderboard on your AskNicely Dashboard (allowing you to compare scores for each value in that field) and a Filter (allowing you to narrow your results to only see Responses for a specific value.)
Examples of useful fields to segment by are type of plan or product purchased, area/territory of customer, customer service rep, etc. Use the checkboxes to bring the fields you believe will be helpful.
NOTE: AskNicely cannot import Company fields, only Contact fields.
If your field is not showing up in the Contact Properties list,
it is probably a Company field.
To get Company fields to show up on the Contact Record, please contact
your HubSpot Support Team.
The HubSpot Properties you bring in to AskNicely can be updated at any point by clicking the Edit button on the HubSpot integration page. (Easiest way to find this: App Store > Installed Apps.)
Once your settings have been confirmed, Click on Save.
Your Hubspot Lists will sync daily at 11pm local time.
Display your AskNicely Fields in HubSpot
AskNicely Responses can be configured to show up in two locations in HubSpot: The "Contact Activity timeline" and the "About This" contact section.
Contact Activity Timeline
Click on the "Filter Activity" drop down and make sure that under Integrations you have AskNicely selected.
Once that's checked, when you click on the "Details" drop down on the Contact Activity Timeline, you'll be able to see the score, comment, tag (aka Feedback Topic), category, the NPS question that was asked, and the response date/time.
About This Section
- Scroll down and select "View all properties".
- On the left side, click on "Set default properties".
- Search for NPS
- Five properties will show up that you can add to the default display. NPS Comment, NPS Date, NPS Score, NPS Segment, and NPS Tag - see below:
Once you have added these fields, you now have a full 2-way sync with HubSpot. Congratulations!
