Keeping your contact data current is essential for accurate reporting and effective survey targeting. The method for updating Contacts depends on how they were originally added to AskNicely. Contacts can be updated with any of these methods, but it's best to update at the source of the data using the original method to ensure that they will not be updated again if the method is automated.
🔁 If Contacts Were Uploaded via CSV or Manually Added
To update existing Contact data using a CSV pulled from AskNicely's Contact page:
Open the Contacts page
Filter and download Contacts CSV
Remove all columns except Email column, existing Name column (these are required), and any columns that you wish to edit
Open CSV, make edits, save as CSV UTF-8
Open AskNicely App Store
Open or search for Advanced CSV Importer
Upload CSV
Configure: Import Only, Do nothing with other existing Contacts
Map fields
Choose setting in the SURVEY TEMPLATE CONFIGURATION section
- Pick a survey Template to assign to any new Contacts (even if there are no new Contacts)
- Toggle "Keep each contact's existing survey template" On*
- Toggle "Don't change existing contacts' active status" On*Continue, review, continue
💡 Any new columns or fields will be added as new Custom Data fields during import.
💡 Any existing field values will be overwritten during import
💡 Blank cells will erase existing field values
* "Keep each contact's existing survey template" - In some Scheduler configurations, it's necessary for Contacts to have an inherent Template attached to them. This option prevents edited Contacts from having a new Template assigned.
* "Don't change existing contacts' active status" - If this is toggled off, all of the Inactive Contacts you are updating will be reactivated. If it is toggled on, all Contact active/inactive status will remain the same.
🔄 If Contacts Came From an Integration (CRM / POS / API)
When Contacts are imported via an integration, all update happen in the source system (e.g., Salesforce, HubSpot, POS). AskNicely reflects what’s sent from the integration.
To update integrated Contacts:
Update the Contact's information in your CRM or POS system.
Trigger a sync (automatically or manually) to update the data in AskNicely.
🛑 If the Contact is No Longer Part of the Integration
If a Contact was originally imported via integration but is no longer syncing:
Re-add them to the active segment/list in your CRM.
The next sync will update their information in AskNicely.
Alternatively, upload a CSV manually with the email address and updated data.
🚫 If the Contact Has Unsubscribed
Unsubscribed Contacts are permanently excluded from survey sending, even if their data is updated.
There's no need to update their information.
They cannot be resubscribed manually through AskNicely.
Note: AskNicely will continue to store their data unless “Delete All Data” is selected from the Contacts page.
