Introduction
Net Promoter Score (NPS) works best when engagement and visibility are shared across your organization. AskNicely enables you to invite team members into the platform to collaborate, review feedback, and take action—so that everyone from the C-suite to the frontlines benefits from customer insights.
If you're the sole admin, it's a great idea to use the User licenses included in your plan to invite others and expand visibility.
Step-by-Step Instructions
✅ Viewing Your Users
To manage your team:

Go to Settings > Users > Users

View your current list of Users and User license count at the top of the page
➤ The numbers shown reflect registered Users vs. your total license allowance
If this is your first time in the platform, you may only see yourself listed.
👤 Adding Individual Users

Click the blue Add User button

Enter the User’s:
-
First and last name
-
Email address
-
Role (Admin, User, Read Only, or Custom)
- Team (if exists)

Optional: Check the box to subscribe them to weekly email reports

If you're assigning a Locked Filter Role, select the correct value:

Use the dropdown to choose from existing filter values

Or click “Add New Data” to create a new value
📝 Make sure the new value exactly matches the spelling used in your incoming Contact data

Click Save or Save and Add Another
Once saved, the new User will:

Receive an invite email to create their password
-
Get a second email inviting them to download the AskNicely mobile app (iOS or Android)
👤 User Teams
The Team dropdown will associate a user with a team. This dropdown is populated from 'locations' that have been uploaded and will automatically attempt to match users with a location based on response data that share the same fields. For example, if we detect that John has responses associated with him and those responses are also associated the 'Downtown' location then John's team will automatically be set to 'Downtown'. Automatic assignment can be overridden by editing the user. Once overridden, automatic assignment will happen again for that user.

✏️ Updating User Details
To update a User:

Go to Settings > Users
-
Click Edit next to the User’s name

Make changes to:
-
Contact information
-
Assigned Role
-
Locked Filter(s)
-
Click Save to apply changes.
❌ Removing Users

Go to Settings > Users
-
Click Edit next to the User
-
Select Remove User
This will deactivate their account and prevent them from receiving AskNicely emails.
FAQs & Common Issues

Q: What if I run out of User licenses?
A: Reach out to your Customer Success Manager or support@asknice.ly to explore adding licenses. -
Q: How do I manage what a User can see?
A: Assign them to a User Role with a Locked Filter (e.g. by Segment or Location). You can control what data is visible to them.

Q: Can Users request access directly from AskNicely?
A: For security, AskNicely will always consult with your Admin(s) before granting access. Instruct new team members to contact you directly.
