🎯 Introduction
Your Base Profile defines the ideal information for your business across more than 50 data points, known as Aspects.
This is where you set your ideal:
Business Name
Address
Phone Number
Website
And other business details you want to control online
The Base Profile acts as the source of truth for your business information.
🔍 How the Base Profile Is Initially Set
During the Discovery Process, Reputation Manager attempts to automatically populate your Base Profile.
The system analyzes discovered listings associated with your business.
If there is clear consensus online for a particular Aspect, its value may be automatically set in your Base Profile.
Some information may already be filled in when you first access it.
You should review all Aspects to ensure accuracy.
📍 How to Access the Base Profile
To access your Base Profile:
1️⃣ Go to the Navigation Bar.
2️⃣ Select Profile.
At the top of the screen, you will see a drop-down list that allows you to view and select different Aspects.
🛠 How to Set Your Base Profile
To configure your Base Profile:
1️⃣ Choose the aspect you want to set from the drop-down list (e.g. Business name, opening hours, etc).
2️⃣ On the left side, enter your ideal value for the selected Aspect.
If the aspect allows multiple values, enter all appropriate values.
3️⃣ Click the Save button to save your changes.
4️⃣ Repeat this process for each data point you want to manage.
Continue until all relevant Aspects reflect your ideal business information.
🤔 Deciding Which aspects to Manage
You do not need to set a value for every Aspect. In fact, it is unlikely that you will manage all of them.
For any Aspects you do not wish to manage, you should mark them as Unmanaged.
⚙️ How to Mark an aspect as Unmanaged
To set an Aspect as unmanaged:
1️⃣ Choose the Aspect.
2️⃣ Select the checkbox:
"I do not want to manage <aspect>"
3️⃣ Click the Save button.
📊 Why Set aspects as Unmanaged?
Reputation Manager provides suggestions to improve your online data by identifying:
Information that needs correcting
Missing data that can be added
Incomplete listing details
If an Aspect is not marked as unmanaged:
The system will suggest fixing or adding that information to your listings.
Your outstanding issues score may increase.
Your Data Health dashboard may show more issues.
By marking Aspects as unmanaged:
Reputation Manager will not suggest updates for those Aspects.
Your outstanding issues score will be reduced.
Your Data Health dashboard will improve.
✅ Best Practice
Set a Base value for every Aspect you wish to control.
Mark all other Aspects as Unmanaged.
This ensures accurate recommendations and a clean, meaningful Data Health score.
Updating Opening Hours
- From the Profile page select the Hours aspect
- Opening Hours
• From the Profile page, select the Hours tab
• If you are viewing all locations, click one location
• Once you update the opening hours, you can decide whether to save for all locations or only for the selected location.
❓ FAQs & Common Issues
Q: Do I need to complete every Aspect?
A: No. Only set values for Aspects you want to manage. Mark the rest as unmanaged.
Q: Why is some information already filled in?
A: During the Discovery Process, Reputation Manager automatically sets values where there is strong online consensus.
Q: What happens if I do not mark unused Aspects as unmanaged?
A: The system will continue suggesting updates for those Aspects, which may increase your outstanding issues score.
